For travel agents

The group, kept in one place.

Grouply is the system of record for a group departure. Upload the supplier contract, publish a page travelers can join from your own website, and keep signups, deadlines, and messages together. You still book through your host agency.

River cruises, ocean cruises, and land tours. Grouply does not sell the ticket and does not charge the card.

What you run here

The work around the booking.

The host agency stays where the reservation is made. Grouply holds the group itself: the contract, the public page, the people, and the dates.

01

A contract becomes a draft trip

Upload the supplier PDF. Grouply reads the supplier, dates, day-by-day itinerary, categories, traveler rates, and the deposit and final-payment dates, then prefills the trip for you to check against the document. A name-change cutoff and other clauses that do not fit a field stay beside the draft. Net rates and commission stay off the public page. The contract file is removed once the trip leaves draft.

02

You shape the departure

Build a river cruise, an ocean cruise, or a land tour: name, dates, itinerary, categories and fares, and pre- or post-trip extensions. Choose what the signup page shows — highlights, itinerary, pricing, inclusions, your contact, and an FAQ — then publish.

03

A page on your website

Each published trip has a public page for your agency. Embed that page, or your list of trips, on your own site. Hide prices when the contract says the group rate stays off the open web, and show your seller-of-travel numbers in the footer when you have entered them.

04

Signups land in an inbox

A traveler sends a name, a party size, a preferred cabin, and a rooming note. The form takes no payment. The request waits in your inbox as new, contacted, converted, or declined. Converting it creates a contact and a booking. Email them from the mailbox you connect, or text them from your own Twilio number, with the thread kept on the contact.

05

Deadlines, with reminders

Keep supplier dates on the trip, and an earlier working date for your agency. The home screen lists what is coming up and how full the trip is. Email — and SMS, once a traveler has opted in — can remind people about a deposit, a final payment, or missing documents. Quiet hours, STOP, and unsubscribe are honored. Grouply never charges a card.

06

Referrals, and a record of what changed

Set a reward for sharing a trip, for the agency or for one departure: dollars off, or a reward you describe, such as a shore excursion. Travelers share a link. You see who signed up from it and mark the reward once you have applied it. An activity log keeps trip, contract, deadline, and referral changes, newest first.

How it works

Three steps, then the group is live.

1

Upload the contract

Grouply drafts the trip from the PDF. You correct anything that does not match the page it came from.

2

Publish the page

Finish the itinerary, fares, and extensions, then put the signup page on your site or share the link.

3

Run the group

Work the inbox, watch deadlines, and let reminders follow deposits, final payment, and documents.

A clear edge

Outside Grouply, on purpose.

Your host agency books it

There is no reservation system and no GDS connection. Grouply complements the host. It does not replace it.

Someone else charges the card

The supplier or your agency takes payment. Grouply does not charge a card or store card numbers.

Prices and dates are yours

What travelers see is what you confirmed, including values you accepted from the contract. The page does not invent a fare or a sailing date.
